Booking Trip — Carstensz Pyramid Expedition
By confirming a booking and making payment, the participant acknowledges and agrees to the following Terms and Conditions.
1. Booking Confirmation
- A booking is considered confirmed only after the required deposit has been received by the organizer.
- All participants must provide valid identification documents, passport copies, and other required documents for permit processing.
- The expedition to Carstensz Pyramid begins long before the climbing season starts.
2. Deposit and Payment
- A non-refundable deposit of USD 1,000 of the expedition fee is required to secure a place on the expedition.
- The remaining balance must be paid one week before your team arrives in Timika.
- Failure to complete payment by the due date may result in cancellation of the booking and forfeiture of deposits paid.
3. Permit Requirements
- Access to Carstensz Pyramid is subject to permits, government approvals, security clearance, and local authority regulations.
- Delays, restrictions, or cancellations caused by permit issues are beyond the organizer's control.
- Participants must provide all requested documents within the required timeframe.
4. Cancellation by Participant
- Deposit payments are non-refundable after full payment is made.
- Participant cancellations may result in forfeiture of deposits, permit fees, logistics costs, transportation bookings, and other non-recoverable expenses.
- No refund will be provided for voluntary withdrawal from the expedition, missed flights, failure to meet expedition requirements, or early departure from the expedition.
5. Expedition Changes, Delays or Cancellation by the Organizer
- Expedition schedules are subject to change due to weather conditions, helicopter availability or restrictions, security situations, permit processing, government regulations, and local community restrictions.
- The organizer reserves the right to modify itineraries, departure dates, and expedition duration if necessary for safety and operational reasons.
- If the operator cancels the expedition, where possible the organizer will offer an alternative date or an applicable credit or refund according to the actual recoverable costs.
- Payments may be non-refundable where the operator has already committed funds to permits, transportation, accommodation, logistics, guides, helicopter arrangements, or other third-party services.
- Any refund will be calculated according to the applicable cancellation policy and amounts recoverable from third parties.
6. Force Majeure
- The organizer shall not be held liable for delays, cancellations, or changes caused by circumstances beyond reasonable control, including but not limited to natural disasters, extreme weather, political unrest, government restrictions, strikes, epidemics or pandemics, and security issues in Papua.
- No refunds shall be guaranteed under force majeure circumstances.
7. Participant Fitness and Experience
- Participants must be physically fit and capable of undertaking a high-altitude technical climbing expedition.
- Previous mountaineering and rope-access experience is strongly recommended.
- The organizer may refuse participation if a participant's fitness or behavior poses a safety risk.
8. Expedition Leader Authority
- The Expedition Leader's decision is final in all matters relating to safety, route selection, acclimatization, summit attempts, emergency response, and the helicopter schedule.
- Participants must comply with all instructions given by expedition staff: provide truthful and complete information; arrive at the designated meeting point on time; bring the required personal equipment and clothing; follow the expedition itinerary and safety procedures; respect local customs and communities; not participate while under the influence of alcohol or illegal drugs; and inform the guide or staff immediately of any injury, illness, or medical problem.
9. Travel Insurance
- Participants must obtain comprehensive travel insurance covering technical mountaineering, medical expenses, emergency evacuation, and trip cancellation and delays.
- Proof of insurance may be required before departure.
10. Assumption of Risk
- Participants acknowledge that climbing Carstensz Pyramid involves inherent risks, including altitude sickness, technical climbing hazards, rockfall, weather-related risks, and injury, disability, or death.
- Participation is entirely at the participant's own risk.
11. Environmental and Cultural Responsibility
- Participants must follow Leave No Trace principles.
- Respect for local communities, customs, and cultural values is mandatory.
- Environmental damage or misconduct may result in removal from the expedition without refund.
12. Media and Photography
The organizer may use photographs and videos taken during the expedition for promotional purposes unless otherwise requested in writing by the participant.
13. Acceptance of Terms
By submitting a booking form and making payment, participants confirm that they have read, understood, and agreed to these Terms and Conditions.
